LabOpenings Terms of Use
Optional workspace assistant — AI terms
AI agreement version: 2026-10-30. Effective date: October 30, 2026. These additional terms apply only when you choose Agree and enable before using the optional workspace assistant. They supplement the October 30, 2026 Terms of Use; manual editing does not require this additional agreement.
By enabling the assistant, you authorize LabOpenings to send the information described in the AI privacy section to OpenAI to process requests you choose to send. Enabling it alone does not send your draft or change a listing. Each Send asks the assistant to carry out that request, including creating openings, updating fields, or closing recruiting. A complete request that passes validation is applied as one batch without a separate Save step. Requests that need clarification do not apply their proposed changes.
AI can misunderstand instructions, select the wrong detail, or produce inaccurate information. Give clear instructions and inspect the resulting listing. You remain responsible for the information you publish and must have authority to change it. Existing account, profile-verification and visibility rules apply; changes to an already public listing can become public immediately. The assistant does not verify institutional requirements, guarantee recruiting outcomes, evaluate applicants, or make admissions or hiring decisions.
View changes shows the before-and-after values. Undo reverses the whole request, including removing an opening created by it, while the affected openings still match that request's latest state. A later edit can make Undo unavailable. If appropriate, undo later assistant requests first; manual edits are protected. Undo cannot recall information already seen or copied by others. Use the manual editor to correct a listing when Undo is unavailable.
Do not submit confidential research, participant or patient data, application documents, private applicant evaluations, passwords, or other sensitive personal information. Use only content you have permission to disclose. Manual forms and external AI-connection drafts retain their own Save or confirmation controls.
Possible personal safety concerns pause the current conversation. The third detection across chats pauses Oli across your account until an administrator restores access. Opening, archiving or deleting a chat does not reset that count. Automated detection can be mistaken; ordinary suicide-prevention research without a personal disclosure should not trigger a pause. You can request manual access review, but there is no guaranteed review time. Review concerns use of the recruitment assistant, not your health or safety. Manual editing, existing history, available Undo and support links remain available.
We record the AI agreement version and acceptance time with your account. You may stop using this optional feature at any time and continue to edit manually. Stopping use does not erase earlier conversations or change history. The Privacy Policy explains processing and deletion. Questions or requests: labopeningsdev@gmail.com.
During this pilot, Oli is restricted to approved accounts with an approved lab profile and affirmative U.S./18+ and lab-authority declarations. An administrator reviews eligibility before enabling use. Profile changes require renewed review. We do not independently establish age or location through these declarations. Approval does not establish institutional endorsement and does not remove any separate safety pause.
Do not use Oli to rank, score, screen or make decisions about identifiable applicants, create unlawful recruitment criteria, or make unauthorized institutional claims. Listing checks apply to assistant changes as well as manual edits; a flagged listing may be saved privately pending human review.
An automated access pause is a routing decision, not a finding about your health. Restoring access is not an assessment of anyone’s safety. Eligibility review, issue reports and support are not emergency services.
Oli conversations, change details and private memory
Oli is the workspace assistant described above. You can reopen earlier chats, archive or restore them, and delete individual conversations. Saved workspace text and replies remain until you delete the chat or complete account deletion. New requests rejected by the scope or safety check retain a placeholder and fixed reply instead of their raw message. Archiving only moves a chat out of the recent list.
Undo and exact before-and-after change details are available for 15 days from the change. Later edits may make Undo unavailable sooner. After that window, the server no longer returns these details or permits Undo. Expired snapshots are cleared from active storage on the next authenticated assistant request; an inactive account's stored snapshots may remain until that cleanup occurs. Brief activity entries, dates and whether a change was undone remain with your account. Conversation text is retained separately and can still mention earlier values. Use the manual editor when Undo is unavailable.
To keep each request manageable, we send selected recent messages, a compact overview of earlier exchanges, and current task details. Oli can retrieve relevant original messages from that same conversation when needed. This does not require sending all of your other conversations to OpenAI.
Private lab memory stores a short Markdown note for your lab, with owner-written notes and concise preferences, confirmed decisions or unfinished tasks Oli learns from your messages. When you send a new workspace request, this memory is included in the information sent to OpenAI, even when you start a new conversation. It is not public, does not replace current opportunity records, and cannot independently authorize changes. You can view, edit, remove, clear or download it from Lab memory. Memory is bounded: up to 4,000 characters of owner notes and 12 maintained notes of up to 400 characters each. Topic updates replace earlier notes rather than appending an entire transcript.
Deleting a conversation removes its messages, conversational replies, source excerpts and quoted message evidence from active application storage, along with memory notes derived from it. It does not reverse changes to openings; available change details and Undo keep their original 15-day window. Undo also removes memory notes linked to the undone change. If you explicitly edit and save a derived note, it becomes your independently saved note and remains when its source chat is deleted or the change is undone. Clear memory removes the current note and prevents an already-running reply from restoring it; later requests can add new notes. Account deletion removes all lab memory.
Provider logs and backups remain subject to the main policy and provider retention rules. These controls supplement AI agreement version 2026-10-30. Chat deletion does not reset access holds or remove account-linked pause and review metadata.
Oli’s scope and safety responses
Oli is an AI tool for research recruitment and managing your LabOpenings workspace. It is not a person, a companion, a health professional, or an emergency or crisis service. It does not provide personal medical or mental-health advice, monitor your safety, or contact emergency services for you.
Unrelated requests receive a brief fixed reply. When a message is recognized as a possible personal safety concern, Oli uses a fixed support message that points to human help, including the 988 Lifeline in the U.S. and Find A Helpline for other countries. Immediate danger requires local emergency services. This response does not make changes to your openings or add a lab-memory note. Automated recognition can make mistakes; do not rely on Oli for crisis support.
We use a limited selection of recent conversation text to check a request’s scope and safety before providing workspace tools. Messages routed outside the workspace are excluded from subsequent workspace-planning context and original-message lookups. Proposed automatic memory notes are separately checked to exclude personal health and crisis disclosures, even when a later message requests that they be remembered. Do not enter sensitive personal information in chats or owner-written lab notes.
For new requests, text that fails the scope or safety check is not retained in saved conversation text. Its fixed reply and a neutral placeholder remain. Earlier saved conversations are unchanged; automated classification can miss sensitive content. Provider processing, logs and backup limits still apply.
A recognized safety concern pauses that conversation. The third detection across chats pauses Oli across the account pending manual access review. Retrying the same completed request does not add a detection. Deleting or archiving a chat, accepting a new AI agreement, or opening another chat does not remove the count or hold. After access is restored, the current count is reset and a new recruitment chat can be started; previously paused chats stay paused.
Use Report an issue for a category-only report or Request access review for a paused account. These controls do not attach conversation text and are not monitored for emergencies. Administrators make an access decision, not a clinical assessment. There is no guaranteed response time. Manual editing, history, available Undo and human-support links remain available.
Base Terms version: 2026-10-30. Effective date: October 30, 2026.
1. The project, its scope, and these Terms
LabOpenings is a free, independently operated research project exploring new ways for faculty and students to connect. Questions and privacy requests: labopeningsdev@gmail.com.
LabOpenings explores whether making research-opportunity information easier to maintain and find can help people communicate more directly. We learn by operating the project and listening to voluntary feedback. Using LabOpenings does not enroll you in a research study. Any future study involving study-specific collection or use of account information would be explained separately and undergo any required review before it begins.
These Terms cover the LabOpenings website, public information services, and any LabOpenings app that links to these Terms. In these Terms, "LabOpenings," "we," "us," and "our" mean the operator responsible for the project under the LabOpenings name. LabOpenings is a project name; it is not presented as an incorporated company, registered nonprofit, university program, or separate legal entity.
The project currently focuses on U.S. research opportunities and users. People outside the United States may access the service or submit information where its features are available, but we do not currently provide dedicated country-specific support or promise that listings meet every country's requirements. This focus does not waive anyone's mandatory legal rights or the operator's obligations.
LabOpenings is not an employer, university, admissions office, recruiting agent, or representative of a listed institution. Institutional names and links identify the relevant parties; they do not imply sponsorship or endorsement. We are not a party to applications, recruitment decisions, or arrangements between users and institutions. No user may make a commitment on behalf of LabOpenings. These statements do not exclude responsibility the operator has under applicable law.
Account features require an affirmative agreement to these Terms and confirmation that you are at least 18. We record the versions presented and the server-recorded acceptance time. Existing users and users of third-party sign-in who have not accepted the current versions must review them before using protected account features. Available public information can be viewed without an account; anonymous viewing is not recorded as account agreement. Our separate Privacy Policy explains personal-information handling. Reading that policy or accepting these Terms is not blanket consent to optional data uses or a research study.
2. Eligibility, accounts, and publication authority
You must be at least 18 and legally able to enter into these Terms to create an account. Give accurate information, protect your credentials, and promptly report suspected unauthorized access. Our age requirement is a self-declaration, not an identity or age verification service.
Publish a faculty or laboratory profile only if you are authorized to represent it. Do not impersonate another person or claim an affiliation, authority to recruit, or verification you do not hold. A school email address, successful sign-in, or acceptance of these Terms does not establish that authority or bind a university that has not authorized you to act for it.
An unconfirmed PI account may allow private editing in the original browser or app. Its profile and opportunities are not eligible for ordinary public publication until email confirmation and profile approval. Expiration of private editing access or signing out does not itself erase saved information. See the Privacy Policy for deletion options.
Features, account roles, and sign-in options may differ between the website and app or be paused during development. In particular, an unavailable browsing interface does not necessarily make otherwise public information private or remove it from public APIs.
3. Listings, preferences, and verification
Publishers are responsible for the accuracy of their profiles, contact information, opportunities, lab preferences, funding descriptions, eligibility conditions, and program links. Publish only information you have authority to disclose, distinguish your lab's preferences from official institutional requirements, and update material changes promptly. Follow applicable employment, nondiscrimination, institutional, and other legal requirements.
For new and edited listings, identify whether the opportunity is degree admissions, paid employment, or unpaid research. Paid employment listings must state the work location, including permitted remote locations, and an authorized base pay range with currency and pay period. Include any other legally required compensation, benefits, location or qualification disclosures. A degree-admissions category or unpaid label does not establish that an arrangement is legally exempt from employment requirements; confirm the classification with your institution.
Qualifications must be lawful, relevant to the role, and authorized by the responsible institution. Do not use LabOpenings or Oli to rank, score, screen, evaluate or make decisions about identifiable applicants. Do not submit applicant records or private health information for these purposes.
Listing checks identify some potentially problematic text and missing disclosures. Flagged revisions stay private until corrected or reviewed. Review applies to the submitted revision and is not legal clearance or a guarantee that every problem was detected. Older unchanged listings may predate these checks. The publisher remains responsible for reviewing them and correcting material omissions.
An "Open" label reflects the publisher's settings and any configured closing date, calculated using the record's named timezone. It is not a promise that a position remains available, funding exists, or a particular person is eligible. An "Until filled" listing has no scheduled closing date and depends on publisher updates. Closing a listing does not delete it.
Visitors should confirm deadlines, application instructions, funding, eligibility, and other material details with the responsible lab or institution before relying on a listing. Lab preferences do not override official program requirements. Applications and selection decisions take place outside LabOpenings unless a particular feature expressly states otherwise. We do not currently accept application documents or make admissions or hiring decisions.
Contact preferences indicate how a publisher prefers to receive research-fit inquiries or meeting requests. They do not promise a reply, meeting, application review, admission, or employment. Respect those preferences and do not treat a published email address as permission for bulk unsolicited messages.
Profile review considers limited evidence of identity and authority. A review or verification label is not an institutional endorsement, background check, or guarantee of quality, safety, funding, admission, employment, or another outcome. Publication may be delayed or declined, and changed information can return a profile to review.
Features described as being in development, including AI assistance, are not a promise of availability. The current lab-preferences feature stores the text a publisher enters; it does not generate admissions requirements or evaluate applicants using an AI model.
4. Acceptable use
Do not:
- Publish false, misleading, unlawful, discriminatory, harassing, or infringing material, or submit a knowingly false abuse report.
- Impersonate a person or institution, falsify review evidence, or publish information without authority.
- Enter confidential research or participant records, health information, application documents, private applicant evaluations, passwords, or other sensitive personal information into public or free-text fields.
- Send spam, harvest contact information for unsolicited bulk messaging, collect credentials, distribute malware, or use listings for fraud.
- Access another person's account or nonpublic information, bypass controls, evade reasonable technical limits, or disrupt the service.
- Republish information in a way that falsely implies endorsement or removes dates, source, or other context so a listing becomes materially misleading.
Use automated access only through public or otherwise authorized interfaces and within applicable technical limits. Public access is not permission to access private records or act for another account. These restrictions do not limit rights or activity protected by applicable law. Report a suspected security issue through the contact address below without including exposed secrets in the initial report.
5. Content ownership and permission to operate the service
You retain ownership of content you submit and represent that you have the necessary rights and permissions. You grant the operator a nonexclusive, worldwide, royalty-free permission to host, store, reproduce, format, transmit, and display that content only as reasonably necessary to operate, secure, and provide LabOpenings, including through service providers used for those purposes.
This permission includes making the fields identified as public in the Privacy Policy available through public pages and APIs. It does not transfer ownership or authorize unrelated advertising, the training of a LabOpenings AI model, or an undisclosed research study. Any additional use would require its own lawful basis and any necessary notice or consent.
The permission ends when the content is removed, except for copies needed for the limited retention purposes and backup handling described in the Privacy Policy. We cannot recall independent copies made by other people or search engines. Public availability does not transfer intellectual-property ownership to someone viewing the information.
LabOpenings branding, software, and original interface content belong to their respective owners. Subject to these Terms, you may use the website and any app we provide for their intended functions. This does not give you ownership of branding or third-party institutional materials. Applicable open-source and app-store licenses remain effective for the materials they cover.
6. Reports, moderation, suspension, and deletion
We may restrict access, suspend an account, or remove content when reasonably necessary to address a violation of these Terms, legal requirements, security concerns, or a material risk of harm. Where practicable, we will explain the reason and allow you to seek reconsideration. Urgent action or legal restrictions may prevent advance notice. Suspension is not the same as deletion of all related records.
To report impersonation, unlawful content, infringement, or another concern, email labopeningsdev@gmail.com with the relevant URL, an explanation, and supporting information you are authorized to provide. Include a way to contact you and, where relevant, your authority to act for an affected person. We may request further information or restrict disputed content during review. Do not send passwords or unnecessary sensitive information.
You can stop using the service at any time. In an app version that provides Delete account, that control submits an account-deletion request. Once successfully recorded, it blocks normal account use and hides linked profiles and opportunities from our public responses while an administrator completes deletion. A request receipt confirms that the request was recorded; it does not confirm that deletion has finished.
You can also request account closure or personal-information removal by emailing labopeningsdev@gmail.com, including when the website has no deletion control or you cannot sign in. An email request may require verification before records are hidden or removed.
We complete removal of your LabOpenings account and associated profile and opportunity data from active service storage within 30 days of receiving an account-deletion request and email you when it is complete. If a verification issue or a lawful exception affects your request, we will explain it and follow any applicable notice and deadline requirements. Provider-managed backups, logs, and email-delivery records follow separate retention and deletion cycles and may remain after active account data is removed. Those cycles do not extend our deadline for removing active account data. The Privacy Policy explains the deletion process, limited retained records, recovery copies, and independent third-party copies.
Signing out, uninstalling an app, or marking an opportunity closed does not delete your server records. An individual opportunity can be removed through an available delete control or a verified support request.
7. Other services and communications
Institutional application systems, sign-in providers, app stores, and external websites have their own terms and privacy practices. We do not control their content or decisions, and a link is not an endorsement. Confirm the intended recipient and relevant privacy practices before sending application documents or other personal information outside LabOpenings.
Account confirmation, recovery, security, privacy-request, and material service notices may be sent through the contact details associated with your account. Providing a contact address or accepting these Terms does not subscribe you to an unrelated marketing list. Maintain an address you can access; email delivery is not guaranteed.
8. Availability, charges, and liability
LabOpenings is currently free. Any future paid offering would present its price and terms before you choose it. We do not guarantee uninterrupted availability or complete, current, or error-free listings. Features may change or be discontinued. Where reasonably practicable, we will give notice of a material discontinuation affecting active accounts.
To the extent permitted by applicable law, the service is provided "as is" and "as available," without warranties of merchantability, fitness for a particular purpose, or noninfringement. This does not exclude a warranty or obligation that cannot lawfully be excluded.
To the extent permitted by applicable law, the operator is not liable for indirect or consequential loss arising from use of the service or reliance on third-party listings. Nothing in these Terms excludes liability for fraud, intentional misconduct, gross negligence, or any responsibility that applicable law does not permit us to exclude or limit.
9. Disputes and mandatory rights
Please contact us first about a problem so we can try to resolve it. This request does not delay a statutory deadline or prevent urgent relief, a regulatory complaint, or exercise of legal rights. You may seek reconsideration of a moderation or account decision through the same contact address.
Nothing in these Terms removes mandatory legal protections or access to courts. These Terms do not require arbitration, waive class actions, prescribe an exclusive court location, or prohibit honest reviews or lawful complaints. Applicable law determines the rights and obligations that cannot be changed by these Terms.
10. Changes to these Terms or the operator
We will publish updates with a new version and effective date and preserve the text of published versions. We will give reasonable advance notice of material changes through the website and, where appropriate, account email, unless an urgent legal or security reason requires a shorter period. We will request renewed agreement where necessary; changes will not retroactively remove accrued rights.
If responsibility for the project transfers to a different operator, we will identify the new operator and explain material changes in advance where required by law. Any transfer of personal information remains subject to the Privacy Policy and applicable law. These Terms do not authorize a successor to disregard existing privacy commitments.
11. General provisions
If a provision is unenforceable, the remaining provisions continue to apply to the extent permitted by law. Failure to enforce a provision once does not waive later enforcement. These Terms and any additional terms clearly presented and agreed to for a specific feature govern the service. Mandatory legal rights take precedence over conflicting provisions.
Ending an account does not affect rights or obligations that arose before closure. Provisions intended by their nature to continue, including applicable liability limitations and resolution of existing disputes, continue to the extent permitted by law. This does not extend the content permission or data retention beyond the limits in these Terms and the Privacy Policy.
